About the Role

We are seeking a dedicated and detail-oriented Admin / Document Controller to join our dynamic team in Riyadh, Saudi Arabia. The ideal candidate must be a Saudi national and will play a crucial role in managing and controlling project documentation, ensuring efficient communication, and supporting the project team.

Responsibilities

Coordinate, implement, and maintain all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.

Ensure that controlled copies of the latest approved documents and drawings are provided to the appropriate staff, subcontractors, and suppliers as applicable.

Maintain Document Management in accordance with established procedures or standards, including documents numbering, formats, issuance, review, dispatch, recording, and archiving.

Process incoming documentation, including registration in the Document Management System (DMS) or Aconex, internal distribution, and archiving.

Keep updated records of all approved documents and drawings and clearly document their distribution.

Maintain files and control logs as required by the project.

Ensure all drawings/documentation are correctly identified, distributed, and filed/stored.

Perform general document control activities such as photocopying, scanning, and ensuring compliance with Project standards regarding document quality.

Assist in the preparation, collation, and issuance of reports and registers as required.

Ensure the use of standardized forms and templates.

Set up Project folders and facilitate the Project communication process.

Establish and maintain the Master Document Register in cooperation with the project team.

Maintain records of important correspondences and control important documents/records/reports.

Prepare presentation documents, spreadsheets, graphical representations, and charts required for Board Meetings and coordinate with management on daily office-related functions.

Assist the Project Manager in Project Administration and Document Controlling.

Aid in monitoring project progress, scheduling meetings, and preparing presentations.

Assist team leaders in preparing weekly reports for the Client.

Control all outgoing and incoming documents.

Keep project document folders up to date.

Maintain both hard copy and electronic filing systems.

Coordinate project-based work and prepare daily reports for the executive manager.

Perform a wide variety of complex and confidential secretarial tasks for the executive manager.

Perform other related duties/tasks as directed by the Project Manager and when required.


Requirements

  • Diploma Degree

    (0-3) years

  • Skills

    - Knowledge of electronic document management system, including ACONEX.


  • Strong personal and professional presentation styles.


  • Strong inter-personal communication and negotiation skills.

  • The ability to accomplish plans within approved schedules.

  • Fluently communicate in English language.
